Operations & Administrative Coordinator (Minneapolis, MN)

We are excited to add an Operations & Administrative Coordinator to the VersaBank USA team on a full-time basis. This position has room for advancement and the Bank is prepared to employ applicants with less experience, however compensation may vary and will be determined at a later stage in the hiring process. Please note that VersaBank USA is a federally chartered U.S. bank and subsidiary of VersaBank, a Schedule I Canadian bank.

As the first point of contact of our Minneapolis Administrative Centre this role is responsible for the efficient and effective operation of the office through general administrative support. The responsibilities of the role include office administration, communications, and banking operations, all critical to maintaining regulatory compliance and the Bank’s overall effectiveness.  With the ability to thrive in a dynamic environment this role will apply a balance of organizational and interpersonal skills to deliver administrative support while managing banking operations. Key areas of responsibility include managing Automated Clearing House (ACH) creations/transactions, supporting online banking customers, and processing wire transfers ensuring all assignments are completed accurately and on time.

Minimum Requirements

  • Bachelor’s degree in business, finance, accounting, or a related field (preferred).
  • Previous experience with Fiserv and or Q2 preferred.
  • Experience in Banking operations required.
  • Exceptional verbal and written skills
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Strong interpersonal and organizational skills with the ability to multitask
  • Strong analytical and investigative skills.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).

Primary Responsibilities Include:

Office Administration:

  • Coordinate scheduling for appointments, meetings and conference room bookings as required.
  • Manage phone lines, email and in person inquiries, with professionalism and accuracy.
  • Maintain the front desk and shared spaces to ensure they remain organized, welcoming, and secure.
  • Greet clients, visitors, and employees in a professional and welcoming manner.
  • Handle incoming and outgoing mail and deliveries.
  • Assist with organizing events, training sessions, and team activities.
  • Collaborate with the Bank’s management team to prepare and organize board materials; organize monthly/quarterly/year-end reporting and prepare and organize regulatory reporting materials.

Banking Operations:

  • Balance and facilitate the processing of files for all ACH Operators as well as ACH returns
  • Balance the monthly Fed totals, track monthly/annual IATS and complete required entries
  • Process Death Notices, PIM reconciliation, and manage returns
  • Manage monthly billing to ACH Originators
  • Complete monthly checklist for IAT reports, PIM GL statements,
  • Conduct annual Risk Review and organize annual training sessions for all ACH Originators
  • Respond promptly and effectively to online customer inquiries, through secure massaging or over the phone.
  • Complete current and new customer setups for online banking, ensuring seamless and secure access to services.
  • Assist Originators in setting up ACH for pulling and/or pushing transactions or files and manage external and ACH transfers
  • Scan all incoming wire originators and beneficiaries against OFAC and send wire notification to frontline staff for processing.
  • Ensure wire form has been correctly approved and signed prior to releasing the wire.
